CHARICLO HOLISTIC RETREAT SPACE

INTRODUCTION

Chariclo is a non-profit organisation based in Scotland that offers holistic retreats, workshops, and events. We aim to provide a nurturing space for participants to connect with themselves, others, and the natural world. By attending a retreat, workshop or event at Chariclo, you agree to the following terms and conditions.

event bookings

To book a workshop or event at Chariclo, please visit our website booking calendar or contact us directly via email. Payment is taken automatically through our secure online payment system or you can pay by direct bank transfer. If you would like to pay in instalments, please contact hello@chariclo.co to arrange this. You will be emailed further information once your booking is completed. For multi-day and weekend retreats, a non-refundable deposit will be taken, with the full amount to be paid 2 weeks before the event.

Chariclo reserves the right to alter and amend our timetable at any time, and you will be notified of any changes that may affect your booking.

Workshops, courses & trainings run by external facilitators/hirers are subject to their own policy as outlined by the organiser & are not the responsibility of Chariclo. They will be subject to their own individual pricing and terms & conditions that will be communicated at the point of booking.

CANCELLATION POLICY

If you need to cancel your event booking, please inform Chariclo as soon as possible. If you cancel your booking less than 10 days before the start date of the event, the payment is non-refundable, and the full fee will be charged. Cancellations made 10 days in advance of the event are eligible for a full refund or transferred to an alternative date. If you need to leave the retreat, workshop or event early, no refunds will be given. If the workshop or event is cancelled by Chariclo, you will be notified, and a full refund will be issued. If you can no longer attend an event but would like to transfer your space to a friend or family member, we can accommodate this.

If you have booked a multi-day or weekend retreat, your deposit is non-refundable. If you cancel with less than 48 hours’ notice of the weekend retreat, the whole booking is non-refundable and non-transferable.

hiring our event space

Event space bookings are made via email, and you will be sent a quote for hire charges specific to your event. Upon receiving your invoice, payment for hiring the event spaces is made via direct bank transfer or Paypal. A non-refundable deposit is required for each booking to secure the date. Payment in full is required 1 month before your booking date. If you need to cancel your booking, please inform Chariclo as soon as possible.

If you cancel with less than 7 days’ notice of the booking, the whole booking is non-refundable and non-transferable.

It is your responsibility to take care of the event space during your booking. Any damages to the property or props used in your booking are subject to additional costs for repairs. A cleaning fee is included in the booking price, but if we feel that the property has not been returned in the condition it was rented, an additional cleaning charge may be added.

Any facilitator or teacher will need their own public liability insurance prior to hosting their event.

ACCOMMODATION

Chariclo has rooms available for short and long-term use. These are rented via Airbnb or booked directly. When booking via Airbnb, you will be subject to their terms and conditions and refund policies. Rooms are subject to availability at the time of booking. If you have any special requirements, please inform Chariclo during the booking process. When booking, a non-refundable deposit is required. If you cancel your booking less than 10 days before you are due to arrive, the payment is non-refundable, and the full fee will be charged. If cancelling more than 10 days before, a full refund, minus the deposit will be issued, or the booking can be transferred to an alternative date (depending on availability).

HEALTH AND SAFETY

At Chariclo, we take the health and safety of our participants seriously. All participants are required to inform us of any medical conditions that may affect their ability to participate in the retreat, workshop or event. If you have any concerns about your health or safety, please inform Chariclo immediately. You are responsible for your own health and safety during your stay at Chariclo. For specific workshops, a waiver form will be issued. It is a requirement that this be completed and returned before attending the event. Chariclo reserve the right to cancel your booking if this is not completed.

CODE OF CONDUCT

All participants are expected to behave with respect and consideration towards the other guests, staff and facilities at Chariclo. This includes refraining from any behaviour that may cause harm to yourself or others. Chariclo reserves the right to remove any participant who does not comply with the code of conduct.

LIABILITY

Chariclo is not liable for any loss, damage, injury, or illness that may occur during your stay. Participants are responsible for their own personal belongings and travel arrangements. We recommend that you take out travel insurance and ensure that your insurance covers the activities you will be participating in during your stay at Chariclo. As a practioner I have public liability insurance to host and facilitate holistic workshops.

CHANGES TO TERMS AND CONDITIONS

Chariclo reserves the right to update these terms and conditions at any time. The most recent version will be available on our website. By making a booking with Chariclo, you agree to be bound by the terms and conditions in force at the time of your booking.
